    The success of the Hartland Hurricanes relies entirely on the dedication, energy, and support of our parent volunteers. Swimming is a unique, volunteer-intensive sportโ€”it takes a large crew of parents to run a safe, efficient, and fun meet for our kids! To ensure our operations run smoothly and fairly for all, every family is required to actively participate in fulfilling seasonal roles.

    Role Points Job Description & Responsibilities
    Meet Set Up Director 10 Pts Responsible for switching pool area to support meet operations (clerk of course area, starter equipment, referee area, computer area, sound system, tents, sponsorship banners). Coordinates arrival schedules with the set up crew and oversees cleanup/breakdown after the meet.
    Ribbon Director 10 Pts Manages ribbons for the entire season. Coordinates with opposing teams to separate ribbons, files ribbons into swimmer folders for practice distribution, collects all ribbons/DQ slips from the ODSL representative, manages meet ribbon writers, and assists with Divisionals awards.
    Concessions Director 10 Pts Responsible for concessions during home meets (2) and time trials. Manages purchasing, menu pricing, physical setup, staffing requirements, and oversees active sales during the events.
    Concessions Assistant 5 Pts Assists the Concessions Director with purchasing, setup, and staffing setup. Works the concession stand at all home meets/time trials and ensures water is provided to all active meet volunteers.
    Computer Operations Director 10 Pts
    ODSL Training Required
    Establishes meet events in computer systems, seeds events, handles scratch/deck entries, enters time and DQ reasons from paper sheets, and prints ribbon labels. Scores meets, posts results to SwimTopia, and sends files to coaches/opposing teams. *Must print/sort large amounts of paper (printer/ink provided).*
    Computer Operator Assistant 5 Pts HOME MEETS ONLY. Works closely to assist the Computer Operator with data entry of event results, managing printing layouts, and chasing down scratched swimmers.
    Spirit Wear Director 10 Pts Designs, selects, and consults on the season's team gear offerings. Coordinates the team swimsuit fitting layout and store, and handles the purchase and distribution of all spirit wear items.
    Social Events & Banquet Director 10 Pts Organizes the End of Season Banquet and additional season social events. Handles team marketing/advertising, coordinates event timelines with coaches/board members, sources items, and directs onsite event volunteers.
    Social Events & Banquet Assistant 5 Pts Assists Director with team marketing, timeline coordination with coaches/board members, gathering needed supplies, and managing volunteers at social events.
    Fundraising / Sponsorship Director 10 Pts Updates outreach materials, devises sponsorship tiers, contacts past/potential corporate partners, and delivers collected funds to the treasurer. Collects partner logos for website and layout banners, manages advertising commitments, and assists with fundraising events.
    Volunteer Director 10 Pts Recruits parents for key slots, configures the SwimTopia job sign-up schedules, tracks and posts volunteer hours, and sends open-slot updates before meets. Verifies that registrants have adequate training for technical roles and collaborates with chairs to outline support needs.
    Meet Photographer 10 Pts Captures photos at a minimum of 4 full swim meets and most primary team social events. Must use a physical DSLR type camera (no phone photography). Uploads galleries to a secure, private location for family access and updates website images weekly.

    Meet Set Up 1 Pt Arrives early or on the evening prior to assist the Set Up Director with pulling lane lines, hanging banners, unfolding tents, and preparing deck equipment.
    Meet Tear Down 1 Pt Assists with packing away team operations equipment, breaking down canopy tents, resetting lane dividers, clearing trash, and restoring public layout access.
    Parking Attendant 1 Pt Directs incoming traffic flow, manages congested spaces, and guides safe pedestrian crossings. Requires arrival 1 hour prior to meet kickoff. Shifts conclude right when Event 1 begins.

    Experience Req.
    Works closely with Starter and Referee to signal watch resets after heats. Operates backup stopwatches to support lane timer failures.
    Timer (Full Meet) 2 Pts Uses provided watch to record splits. One assigned lane recorder marks times and circles the middle value. No experience required; must attend pre-meet timer brief.
    Head Clerk of Course 4 Pts Full-meet commitment. References official heat layout sheets to rally upcoming swimmers into staging structures, guides heats out onto starting blocks, and verifies lane assignments.
    Clerk of Course (Half Meet) 2 Pts Monitors the team tent layout. Maintains a supportive, respectful athlete environment, pre-organizes age brackets, and directs kids from the tent into staging lineups.
    DQ Runner 2 Pts Full-meet commitment. Maintains fast movement on deck to harvest handwritten record logs from lane timers after events. Collects signed DQ citations from Stroke & Turn Judges, takes them to the Referee for review, and delivers documents directly to the computer table.
    Heat Winner Runner 2 Pts Full-meet commitment. Tracks race touchouts live at the wall. Identifies the fastest finisher of individual heats and immediately awards them an official heat-winner ribbon. Hands out duplicate ribbons for simultaneous finishes.
    Ribbon Writer 3 Pts Full meet position (sits inside during home events). Mounts computer-printed result sheets onto matching award backing materials, separates items by team, and files them into athlete tracking boxes.
    Check In 0.5 Pts Requires early arrival before team setup. Confirms onsite arrival check of both athletes and volunteers, logs open slot absences for the Volunteer Director, and alerts coaching staffs regarding late-arriving competitors.
    Concessions Food Pickup 1 Pt Drives off-site to collect commercial food supply orders and transports packages securely back to the host pool facility based on scheduling coordinates from the Concessions Director.
    Concessions Seller 1 Pt Operates sales transactions at the team food tables during home operations. Follows baseline pricing structures and inventory guidelines established by management directors.
